Immigration Documents Checklist — PCC, Medical, ECA and Translations

Immigration documents do more than fill a checklist: together they must tell one accurate, verifiable story about identity, education, employment, family, finances, travel, and admissibility. The exact set depends on the country, visa category, application stage, and each person included. Ezvisa Immigration helps applicants in Kerala and Indian residents of the UAE build a document map covering police certificates, medical examinations, educational assessments, language results, passports, notarisation, and translations. This guide was reviewed in July 2026. Authorities can change forms, validity rules, and submission methods, so use the personalised checklist issued by the responsible government at the time you apply.

What documents are required for immigration?

Most files begin with six evidence groups: identity and civil status; education; employment or business activity; language or professional competence; finances; and background or admissibility records. Within those groups, the route determines the item. A Canada economic application may call for an ECA and proof of qualifying work, while an Australian skilled file may depend on a positive skills assessment. A visit visa concentrates on purpose, itinerary, funds, and reasons to return. Ezvisa does not issue one generic list and pretend it applies equally to PR, work, and short-stay applications.

Every family member needs a defined role in the file. Passports, birth records, marriage or relationship evidence, adoption or custody documents, and name-change records may be required depending on circumstances. Accompanying and non-accompanying dependants must be treated according to the official instructions, not omitted because gathering a record is inconvenient. A spouse living in Dubai and a child staying in Kerala can create different address, police, medical, and consent requirements. Ezvisa builds a person-by-person matrix so no document is silently assumed to cover the household.

Quality has three dimensions: content, format, and timing. An employer letter may contain the right dates but lack duties; a bank statement may be genuine but uploaded in the wrong period; a certificate may be complete but unreadable after scanning. Some records are valid only for a limited time or must be issued after a specified event. Ezvisa checks these dimensions before submission and flags conflicts across forms. It cannot make an incomplete history true through drafting, and it will not advise fabrication or concealment to satisfy a checklist.

  • Identity: passport, photographs, civil-status records, family declarations, and name-linking evidence
  • Qualifications: certificates, mark lists, transcripts, assessment reports, licences, and professional registrations
  • Activity history: employment letters, contracts, payslips, tax or bank evidence, business records, and study history
  • Admissibility and support: police certificates, medical instructions, funds, travel history, and prior visa decisions

Is a police clearance certificate mandatory?

Police certificate requirements depend on the destination, age, route, and where a person has lived. Canada permanent residence commonly requires certificates for relevant countries under IRCC’s residence-period rules, subject to country-specific instructions and exceptions. Australia can request police checks for applicants and family members under its character process. Temporary visas may use different triggers or request a certificate later. The safe answer is not “PCC is always mandatory” or “never needed”; it is to identify every country and date, then apply the current official instruction.

Indian PCC procedure varies with the purpose and the applicant’s location. A person in Kerala may use the channel specified by Passport Seva or another competent authority, while an Indian citizen resident in the UAE may need to follow Indian mission, service provider, local police, or destination-specific directions. Ezvisa checks which authority the immigration department recognises. A local station letter, online status page, or employer conduct letter should not be substituted merely because it is faster unless the official country instruction accepts it.

Timing matters because countries treat current and former residence differently, and certificates or officer expectations may become stale. Ordering every PCC at the first consultation can waste money if the pathway is months from filing. Waiting until the last day can also delay submission, especially where fingerprints or overseas processing are involved. Ezvisa creates a residence chronology from age thresholds used by the program, including studies, UAE work, and long visits, then schedules requests. If a certificate cannot be obtained, only the authority can decide whether documented efforts or an explanation are sufficient.

  • List every country, address, arrival date, departure date, and immigration status before ordering certificates
  • Use the issuing authority named in the destination government’s country-specific instructions
  • Preserve receipts and correspondence if an overseas certificate is delayed or genuinely unavailable
  • Do not edit, crop out, or omit adverse information from a police or court record

Is an immigration medical examination required?

Medical requirements vary by country, intended stay, occupation, travel or residence history, age, and visa category. Canada may require an immigration medical examination for permanent residence and for certain temporary applicants under current rules. Australia uses health examinations according to its health requirement and the examinations generated for the case. Other destinations apply their own systems. An ordinary health check from a family doctor is not automatically an immigration medical. Applicants must follow the examination type and timing specified by the responsible department.

Where a panel physician or approved clinic is required, Ezvisa directs the client to the official locator rather than recommending an unrecognised report. The physician sends or records results through the authorised process and does not decide the visa. Applicants should disclose relevant history truthfully, bring required identification, and follow instructions about spectacles, medications, prior reports, or fasting if the clinic specifies it. A consultant cannot interpret clinical findings as a doctor or promise that a condition will be accepted. Complex medical admissibility concerns may require qualified legal and medical advice.

Do not complete an upfront medical simply because another applicant did. Some categories permit or request upfront examinations; others issue instructions after lodgement or need a case identifier. Results have practical validity limits, and an early examination can expire before travel or finalisation, leading to reassessment. Pregnancy, dependent scheduling, treatment, or unavailable appointments may also affect planning and should be raised early. Ezvisa tracks the instruction date and upload evidence, but the clinic and immigration authority control examination handling and any request for further tests.

Do I need an educational credential assessment?

An Educational Credential Assessment is not a universal immigration document. For Canada, an ECA may be required to establish the Canadian equivalency of foreign education for certain economic programs or to claim eligible education points, unless an applicable exception or Canadian credential applies. IRCC designates organisations and professional bodies for this purpose. The report evaluates equivalency; it does not license the applicant to practise a regulated profession and does not guarantee that an immigration officer will accept every separate claim.

Australia usually uses occupation-specific skills assessment rather than the Canadian ECA model. The nominated occupation’s assessing authority may evaluate qualifications, employment, competencies, registration, or a combination. Calling that process an ECA can lead to ordering the wrong product. The UK, Germany, and other destinations use their own recognition, comparability, licensing, or employer requirements. Ezvisa first identifies why recognition is needed—immigration points, admission, professional licensing, or employment—then points to the competent official or designated body.

Ordering records can take time, particularly when a Kerala university must send transcripts directly, a college has changed affiliation, or names differ across certificates and passports. Applicants should request the exact transcript format and delivery method required by the assessment body rather than opening or repackaging sealed records without checking. UAE employment does not change where an Indian degree was issued. Ezvisa coordinates the document plan and monitors validity, but the university controls records and the assessing body controls equivalency. Suspected altered transcripts can damage the entire application.

  • Confirm whether the requirement is a Canadian ECA, an Australian skills assessment, academic recognition, or professional licensing
  • Choose only an organisation or authority recognised for the intended program and occupation
  • Resolve name differences with legitimate linking evidence instead of modifying certificates
  • Keep the assessment reference, report date, electronic access details, and expiry information recorded

How long is IELTS valid for immigration?

IELTS organisations generally describe test results as reflecting ability for two years, but immigration use depends on the receiving authority’s rule and the relevant date in the process. Canada Express Entry requires an approved language test that is less than two years old both when the profile is completed and when the permanent residence application is submitted. Australia applies its own time rules for English evidence, visa criteria, skills assessments, and points claims. Applicants must therefore ask “valid for which program and on which event date?” rather than relying on a bare expiry date.

The correct test version also matters. Canada economic immigration accepts designated tests and requires the appropriate IELTS option where IELTS is used; academic admission conventions do not replace immigration rules. Australia publishes accepted tests and qualifying component scores, which can be updated. A test may remain within its general validity period yet fail because the wrong module was taken or one component misses the required level. Ezvisa records test type, candidate number, date, component scores, program conversion, and the last safe submission date.

A profile that remains in a pool can outlive its language result. If the test expires before an invitation or application deadline, points and eligibility may change and the profile must be updated as required. Booking a replacement too late risks losing a viable opportunity; retesting too early may be unnecessary. Ezvisa places reminders before expiry and reassesses the score effect. No consultant can extend a test result, reserve a previous score, or guarantee the same performance. Verify current accepted tests on the immigration department’s official page before booking.

How long must my passport remain valid?

There is no single six-month rule covering every immigration application. Some countries and carriers use minimum validity periods for entry, while visa validity may be limited by passport expiry. Online systems can require a valid travel document at filing and updated details after renewal. The destination, nationality, route, and intended travel date determine the answer. Ezvisa checks the official immigration and entry guidance, but applicants should also confirm airline transit rules if travelling through another country. A passport nearing expiry can compress an otherwise valid visa plan.

Renewal may be sensible before major filing when expiry is close, but it must be coordinated. A new passport changes the document number and sometimes signature or personal details, requiring updates to profiles, appointments, medical records, biometrics correspondence, or an issued visa under the authority’s procedure. Do not create parallel applications with old and new numbers without explanation. Kerala applicants can follow Passport Seva instructions; UAE residents should use the Indian mission or authorised service process applicable to their consular jurisdiction.

Retain scans of the old passport, including bio pages, visas, stamps, observations, and cancellation marks. Travel history may rely on those pages even after renewal, and a valid visa in an expired passport may be treated differently by each destination. Name or date corrections require stronger linking records than an ordinary renewal. Ezvisa maintains a passport register for every family member and checks consistency across forms. Only the issuing government can issue or correct the passport, and only the destination authority determines how a visa transfers or is reissued.

  • Check passport expiry against filing, biometrics, expected decision, entry, and planned stay dates
  • Review every dependant’s passport rather than only the principal applicant’s document
  • Keep complete copies of current and previous passports with visible stamps and visas
  • Report renewal details through the official case-update method as soon as required

Should immigration documents be notarized?

Notarisation is required only where the authority, application guide, or document-specific instruction asks for it. Many online applications accept clear colour scans of originals, while other processes request certified copies, notarised declarations, affidavits, apostilles, legalisation, or originals sent by an institution. These terms are not interchangeable. A notary confirms an act within local authority; an apostille or consular legalisation serves a different authentication purpose. Ezvisa labels each item according to the exact instruction instead of sending every certificate for unnecessary stamping.

Over-notarising can create cost and confusion. A dark seal may obscure a mark list, a multi-page document may be certified incorrectly, or a declaration may use wording unsuitable for the receiving country. Under-certifying is also risky if the guide requires an authorised person to compare the copy with the original. Applicants should identify who is allowed to certify, what statement must appear, whether every page needs treatment, and whether the certifier’s name, capacity, contact, date, and seal are required.

Documents executed in the UAE may need a different chain from records issued in Kerala, particularly for powers of attorney, civil documents, or affidavits. Immigration evidence should not be routed through a generic “attestation package” without confirming its destination purpose. Ezvisa helps interpret the published submission standard but does not perform notarial acts unless a separately qualified authorised person does so. If an officer requests an original or independently verifiable record, notarising a weak photocopy will not cure missing content or authenticity concerns.

Are translations required?

When a required document is not in a language accepted by the immigration authority, a complete translation is normally needed under that authority’s rules. Malayalam civil records, local-language court papers, or bilingual documents should be reviewed page by page; a few English headings do not necessarily make the entire record usable. The translation should cover stamps, seals, handwritten notes, reverse-side entries, and marginal text rather than summarising favourable sections. Ezvisa marks the source document and translation as a linked pair so reviewers can identify what was translated.

Translator requirements vary. Some authorities require a certified translator in the destination country, while others permit a competent translator with an affidavit, credentials, contact details, or certification statement. The applicant or close family member may be prohibited from translating. Notarisation of the translation is not automatically required unless the instruction says so. Ezvisa checks the current guide before referral or upload, but the translator remains responsible for accuracy and credentials. Machine translation alone is inappropriate where a formal certified translation is required.

Names deserve particular care because Malayalam-to-English transliteration can produce several valid spellings. The translator should reproduce names consistently with the source and note transliteration where appropriate rather than silently changing a birth record to match the passport. Separate affidavits or official linking records may be needed for genuine variations. Dates, document numbers, and institutional names should also be checked against the original. Ezvisa performs a visual reconciliation but cannot certify linguistic accuracy; applicants should review the translation and correct errors before submission.

  • Translate the entire document, including seals, endorsements, handwriting, and the reverse side
  • Attach the source-language record in the format and order required by the portal
  • Verify the translator’s eligibility, declaration, credentials, and contact details under current instructions
  • Explain genuine spelling variations with proper linking evidence rather than forcing silent substitutions

Create a submission-ready digital document system

Document collection is only half the task; the file set must remain controlled. Ezvisa recommends a master index with owner, document name, issuing authority, issue date, expiry or review date, translation status, and intended upload slot. Filenames should identify the person and content without exposing passwords or using ambiguous labels such as “scan final latest.” Keep an untouched source scan and a separate submission copy. If a portal limits file size, compression must preserve legibility, colour, page order, signatures, seals, and machine-readable zones.

Consistency checks compare dates and facts across passports, CVs, forms, education, employment, addresses, tax records, bank evidence, and refusal history. A one-month discrepancy may be an innocent memory issue, but silently choosing whichever date earns points is unsafe. Prepare a truthful explanation and supporting record where needed. UAE work permits, Indian experience letters, and travel stamps often reveal overlapping histories that need clarification. Ezvisa uses a chronology to find conflicts before filing, while the applicant confirms that every declaration is complete and correct.

After submission, preserve the exact version sent, portal confirmations, payment receipts, and all correspondence. Do not replace a source file or backdate a newly created letter to make the archive look older. If circumstances change—passport renewal, marriage, child birth, address, employment, arrest, or refusal elsewhere—check whether the authority requires an update. Ezvisa monitors agreed case communications, but clients must forward notices promptly. Government portals and retention rules change, so download records while access is available and maintain secure backups with appropriate privacy protection.

Recommended Process

  1. Step 1. Confirm the destination, visa category, program stage, principal applicant, spouse, dependants, and intended submission date.
  2. Step 2. Download or generate the current personalised official checklist and record any country-specific document instructions.
  3. Step 3. Build an identity, address, study, employment, travel, and residence chronology for every relevant family member.
  4. Step 4. Create a matrix showing each required record, issuer, format, certification, translation, validity, and responsible person.
  5. Step 5. Order long-lead items such as university transcripts or overseas police certificates, while delaying short-validity items until the correct window.
  6. Step 6. Scan originals clearly, complete required certification or translation, and retain untouched source copies.
  7. Step 7. Reconcile names, dates, duties, amounts, passport numbers, and family declarations across all forms and evidence.
  8. Step 8. Upload files to the correct slots within size and format limits, then review the rendered submission before payment.
  9. Step 9. Archive the exact filed package, receipts, acknowledgement, medical or biometric proof, and every later case communication.
  10. Step 10. Track expiry dates and report material changes through the authority’s approved channel while the application remains pending.

Common Mistakes to Avoid

  • Using one generic document list for PR, skilled work, study, and visit visa applications.
  • Ordering PCCs and medicals too early and allowing them to become stale before the relevant stage.
  • Obtaining a Canadian ECA when the actual need is an Australian occupation-specific skills assessment.
  • Submitting IELTS Academic when the selected immigration program requires a different approved test or module.
  • Applying a universal six-month passport rule without checking the destination and intended stay.
  • Notarising every page unnecessarily while missing the particular certification statement actually required.
  • Uploading only an English extract while leaving untranslated stamps or reverse-side entries.
  • Changing spelling, dates, or duties in a translation or employer letter to make records appear consistent.
  • Omitting old passports, non-accompanying dependants, refusals, or countries of residence from the chronology.
  • Compressing scans until seals, small text, photographs, or document numbers cannot be read.
  • Assuming a panel physician, translator, notary, university, or consultant can decide visa acceptability.
  • Failing to save the final submitted package and therefore being unable to answer a later document request consistently.

FAQ

Document Planning — Common Questions

What documents are required?

The route-specific list may include passports, civil records, education, employment, language, finances, police certificates, medical evidence, travel history, and prior decisions. Family members and country history change the set. Use the official personalised checklist, then let Ezvisa map format, timing, translation, and consistency for your circumstances.

Is PCC mandatory?

Police certificates are commonly required for permanent residence and character assessment, but the countries, residence periods, ages, and timing depend on the program. Temporary categories can differ. Follow the destination authority’s country-specific instructions and obtain the recognised certificate; do not assume a local conduct letter is an acceptable substitute.

Is a medical examination required?

Many permanent residence applicants and some temporary applicants require an immigration medical based on category, stay, work, and travel history. Use only the approved physician or clinic process specified by the authority. Do not complete an upfront medical unless the current instructions allow or request it, because timing affects usefulness.

Do I need educational credential assessment (ECA)?

For some Canadian economic pathways, foreign education needs an ECA from a designated organisation to establish equivalency or claim points. It is not universal. Australia generally uses occupation-specific skills assessments, and other countries have different recognition systems. Identify the exact immigration or licensing purpose before ordering any evaluation.

How long is IELTS valid?

IELTS results are generally treated as reflecting ability for two years, but immigration authorities set the operative rule and relevant date. Canada Express Entry requires a valid approved result at specified profile and application stages. Australia may apply different periods by criterion. Check program, module, component scores, and submission date.

How long is my passport required to be valid?

There is no universal answer. Requirements depend on destination, nationality, visa type, intended stay, transit, and carrier. A near-expiry passport can shorten visa validity or complicate travel. Check official entry guidance and coordinate renewal before filing where sensible, preserving old passport copies and updating the case properly.

Should documents be notarized?

Only when the official instructions require notarisation or a specified form of certification. Clear scans may suffice for many online applications; others need certified copies, affidavits, apostilles, legalisation, or originals. These are different processes. Confirm the authorised certifier and required wording before paying for stamps on every page.

Are translations required?

Usually, any required record not fully in an accepted language needs a complete translation meeting the authority’s translator rules. Include stamps, handwriting, and reverse pages, and submit the source document too. A family member or machine translation may not qualify. Check whether certification, credentials, or an affidavit is required.

Can I submit a document with a different spelling of my name?

A genuine variation may be manageable, but do not alter the record. Provide consistent transliteration, old passports, name-change certificates, civil records, affidavits, or other accepted linking evidence as appropriate. Ezvisa flags differences and prepares an explanation; the receiving authority decides whether the identity connection is sufficiently established.

When should I obtain police certificates and medicals?

Schedule them after checking program timing, residence rules, processing lead time, and the authority’s instructions. Overseas PCCs may need an early start, while medicals can be wasteful if completed prematurely. Ezvisa uses a dependency calendar rather than requesting every short-validity item on the day of consultation.

Do UAE-based Indian applicants need documents from both countries?

Often they need Indian identity or education records plus UAE residence, employment, police, financial, or civil evidence, depending on their history and route. The destination authority decides which periods and issuers count. Create one chronology covering Kerala, the UAE, and every other country rather than maintaining disconnected files.

Can I upload a clear photograph instead of a scan?

Only if the portal permits it and the image captures the full document legibly without glare, distortion, fingers, or missing edges. A proper colour scan is generally easier to control. Follow format and size limits, preserve the untouched original, and inspect the final uploaded rendering before submitting.
